This notice explains how we use personal information about website visitors, prospective clients and portal users.
Who we are
WeArchive is a joint venture between Zopi Ltd and WeCollect. You can reach us about privacy at hello@wearchive.co.uk.
What we collect
- Quote requests: the name, organisation, email, phone number and message you send us.
- Portal users: your name, work email, sign-in history, and the actions you take in the portal, such as requests, views and downloads.
- Technical data: your IP address and browser information, which we use to keep the site secure.
Records we store for clients
For the documents we store and scan for our clients, we act as a data processor. We handle them only on our client's instructions and under a written data processing agreement. If you have a question about personal information in those records, please contact the organisation that holds them.
How we use your information
- To reply to your enquiry and prepare a quote (legitimate interests, or steps before entering a contract).
- To provide the service and the portal to our clients (contract).
- To keep an audit trail of access to client records (legal obligation and legitimate interests).
Cookies
We only use one essential cookie, which keeps you signed in to the portal and protects our forms. We don't use any advertising or tracking cookies.
How long we keep it
We keep enquiries for up to two years. We keep portal accounts and audit logs for as long as the client relationship lasts, plus six years.
